Explain it once, and let people watch when they're ready
The cost of explaining things live
A fifteen-minute call to show someone where a setting lives costs two people fifteen minutes, and a calendar slot neither of them chose. Across time zones it can cost a day. And once the call ends, the explanation is gone — the next person who needs it books another call.
A long written message has the opposite problem: it is permanent, but it is slow to write, and a sequence of clicks is hard to follow in prose.
What teams record
- Handovers: before a holiday or a shift change, walk through what is in progress and where things are.
- Task instructions: do the task once on screen so the person picking it up can follow along.
- Walkthroughs of a change: show the new page, the fixed flow or the finished design, instead of describing it in a status update.
- Questions that need context: “is this meant to look like this?” is instantly clear with the screen attached.
For engineering teams, code review walkthroughs and QA handoffs are covered on the developers page.
Making async recordings work for a team
- Put one sentence above the link saying what it is and what you need back.
- Keep it to one topic, so the recording can be acted on and finished.
- Say the conclusion first, then show how you got there.
- Where the answer needs to be searchable later, add the key facts in text too.
Team communication questions
What is async video communication?
Recording a short explanation — usually your screen and your voice — and sending it for people to watch when it suits them, instead of scheduling a call. It suits explanations that need to be seen but not discussed live.
When is a meeting better than a recording?
When the point is to decide something together, to disagree productively, or to build a relationship. A recording is better for one-way explanations: a walkthrough, a handover, an update, instructions.
How long should an async update be?
Short enough to watch in one go, usually one to three minutes. If it is longer, it is often two recordings, or it needs a written summary alongside.
Can my whole team share a Sayvio workspace?
Teams are part of Pro. On the free plan, you share each recording by its link — in a chat, an email or a document.
